A Ribbon Cutting That Felt Like Coming Home

We were honored to have the Wheaton Chamber of Commerce join us at the global headquarters and other Wheaton locals to help commemorate the event. Together, we cut the ceremonial red tape (it took a few tries with those giant scissors) and toasted to the future with drinks and locally catered pizza and snacks. Interpro team members, friends, and community partners signed their names on the ribbon as a memento of the day.

The Wheaton Chamber of Commerce commented very positively on the event, saying:

Interpro’s ribbon cutting in September was a great event for not only the business itself, but the entire Chamber! It was a chance to network with the Wheaton community, from chamber members to city officials and our partners in progress. We had a great turnout, and even better opportunity to learn more about the services and staff at Interpro. We were so happy to welcome them to the Chamber, meet the amazing team, and we are excited to see how their involvement will further strengthen the growth and success of our local business network here in Wheaton.

A New Era for Interpro

As Interpro approaches its 30th anniversary, we’re entering a pivotal new chapter. One focused on elevating the way we serve you. As Interpro plans for strategic updates across our organization, we’re doubling down on what matters most: delivering even more reliable, responsive, and relationship-driven translation services. These changes are designed to strengthen the value we bring to every project and partnership.

 

The New Interpro CEO

Effective February 20th, I assumed the role of Chief Executive Officer. I am genuinely excited about the chance to enhance our company’s already-robust 29+ year legacy. Leading into the transition, I rebranded our mission statement and company core values:

“We create stronger relationships through language, and relationships create a better world. Interpro connects people of different cultures worldwide through language while creating long-term partnerships that bridge cultures and remove language barriers.”

Our company-wide commitment to providing excellent quality and service to our clients continues. I am excited for the challenge and to embrace Interpro’s mission. I plan to collaborate closely with our Founder and global team to build upon our achievements.

 

Interpro is Now Offering ATC Certified Translations

Just last month, Interpro was formally approved as an Accredited Member of the ATC, meaning Interpro is authorized to officially able to offer certified translations with the ATC’s Certification Stamp. Translations with this stamp demonstrate compliance with the ATC’s strict membership vetting process, which includes audits on financial stability, quality management processes, client and supplier references, and appropriate professional indemnity insurance.

Our elevated website experience with new videos featuring an inside look to the “Interpro experience”. The redesigned website embodies our mission to assist clients in developing the most effective multilingual communication strategies.

New Goals Require Team Growth

To help Interpro achieve all the culture and technical goals we have set for this year, I’m thrilled to share some exciting news about our team:

Beshar Bahjat, our Chief Technology Officer, has been an integral part of Interpro’s journey for 25 years. His efforts and expertise have been instrumental in our achievements. We cannot thank Beshar enough for his dedication, passion, and hard work.

Lei Meng has been promoted to Director of Project Management. She has been a loyal employee of Interpro since 2006. I am honored to have her formally streamline our project management processes and continue to build our talented team.

Javiera González joined our team as a Project Coordinator at the beginning of the year. She resides in Santiago, Chile, and has a strong language background. Javiera recently spent three weeks on-site at Interpro HQ, and we are thrilled to be working with her!

As a result of the 2020 pandemic, an online business environment that seemed like it was still a decade away became standard overnight.

The new normal has opened doors for global business. Presentations that might once have been delivered to a localized trade show audience are now streamed all over the world as webinars. People who were never able to travel to attend a seminar can now learn from – and interact with – presenters on another continent.

The benefit of this global reach is clear, but it’s not without its complications. One of the more vexing questions is how to bridge the language gap when presenting live information to an international audience. After all, global reach is meaningless if the audience doesn’t fully grasp the material.

The percentage of people who prefer learning in their native language is as high as 90 percent, even if they are multilingual. Audiences more easily absorb and engage with content delivered in their mother tongue. The challenge to companies, then, is to present webinar translations that provide value to their entire audience.

Less than optimal webinar translation options

The first solution to this challenge is the most basic. Pre-record webinars, then dub or subtitle them before streaming. This conveys accurate information, but turns the audience from active participants into passive observers. Since the webinar does not take place in real time, the audience is unable to ask questions, share insights, or interact with the speaker as well as with one another.

Another option is consecutive interpretation, which has its own drawbacks. In this model, the speaker delivers a part of the webinar while an interpreter listens and takes notes. The speaker then pauses while the interpreter repeats the information in the target language.

Consecutive interpretation allows for engagement, but it’s a cumbersome process. It at least doubles the length of the webinar, and interrupts the speaker’s natural rhythm and flow. Constant interruption and lengthy pauses during which they can’t understand what is being said are frustrating for both speaker and listener.

Webinar translation using RSI

The most effective solution is a revolutionary interpretation model called Remote Simultaneous Interpretation, or RSI. With RSI, webinar translation occurs in real time as the presenter is speaking. Unlike consecutive interpretation, audiences only hear the audio in their native tongue.

With RSI, the speaker delivers the webinar in his/her native language. The audio is streamed to a remote interpreter through a cloud-based platform designed specifically for interpretation. As the audio stream is received through a headset, the interpreter translates the material into a microphone.

The video and audio streams merge for the audience end of the webinar. The audience sees the speaker but hears the interpretation. The combination of a reliable RSI platform, a skilled interpreter, and a high-speed Internet connection makes delivery feel seamless. Its speed and efficiency have made RSI the go-to option for making webinars available in multiple languages.

How RSI platforms work

Some RSI platforms are designed to work in tandem with online meeting programs like Zoom or GoToMeeting. The event platform hosts the webinar, and the RSI tool delivers the translation via a separate browser tab or mobile app.

Other RSI tools, such as the technology deployed by Interpro, are event platforms in and of themselves. Interpro’s RSI solution supports traditional webinar functions such as screen sharing, Q&As, polling, and document sharing. This easy-to-use platform can be accessed through a computer or smart device, provides high-definition audio and video, and is protected by high-level security.

The burgeoning global economy is fueling the demand for webinar translation. To compete, event platforms are trying to integrate interpretation into their own software. Zoom, for example, now allows meeting hosts to designate up to 20 participants as interpreters.

When the Zoom host turns on the interpretation feature, the interpreters each translate on their own dedicated audio channel. Participants select the language they want to experience the webinar in. They have the option to mute the original audio or run it at a low volume behind the translation.

The Zoom feature is still in its infancy, and has several downsides. Cloud recordings record only the original audio, so audiences who wish to go back and watch a webinar again cannot hear it in their native language. Zoom interpretation cannot be used with Personal Meeting ID, and must be enabled at the time the webinar is created. Interpreters must be panelists, and cannot be hosts or participants. It also requires a more expensive Zoom license, which may not make sense for all organizations.

Zoom also introduces some challenges for the interpreters. It has no handover or relay features, so an interpreter cannot hand off the interpretation task to a backup should he/she be unable to complete the webinar. The interpreter also has a less reliable audio stream for the original material. Overlapping conversations, unmuted mics, and poor sound quality can all negatively impact the interpreter’s ability to deliver a high-quality webinar translation.

It makes sense to use a tool designed for the job. Forcing a meeting platform to act as an RSI tool is like driving nails with a wrench: it gets the job done, but not as easily or as well as a hammer would.

With the availability of high-quality RSI platforms, there is no compelling reason to deliver a webinar translation through a platform not designed for it.

Think beyond vocabulary

Delivering a high-quality multilingual webinar involves something besides the right technology. It needs the right interpreter. An interpreter with expertise in the subject matter will deliver the most accurate webinar translation. For best results, provide your interpreter in advance with as much reference material as possible.

In addition to live interpretation, supporting materials covered in the webinar – such as handouts or PowerPoint slides – should be localized to give users the best experience. Localizing goes beyond word-for-word translation. It takes into account cultural nuances and context. It eliminates the confusion that may be caused by unintentional use of colloquialisms or idioms.

For example, an English-speaking Interpro client wanted to market a seminar to affiliates in France. The English marketing materials said the seminar would make something “easy as pie,” resulting in a “recipe for success.”

The idiom “easy as pie” doesn’t exist in French. Translating the material as-is would have made it nonsensical. Interpro worked with its French team and the client to develop French marketing materials with the slogan, “easy as saying hello.” This got the message across to a French-speaking audience.

Ideally, localization should begin before the webinar is even streamed. During the webinar planning stage, translation experts should be consulted to ensure both the content and visual elements will be understood. Signs, symbols, and colors often vary in meaning across cultures. Using inappropriate visuals to support your content could elicit reactions ranging from amused to offended.

Bringing it together

When executed correctly, an internal review will improve the localization workflow and help produce a quality end product. Your reviewers have core tasks that make up their normal job description. Therefore, adding tasks above and beyond their work responsibilities can present a challenge. When managing multiple linguistic resources, time zones and personalities all come into play. Since 1995, Interpro has been partnering with our clients to assist them with localization projects that incorporate an internal review step.

While each project can be a bit different, the following 5 tips for a successful internal localization review can be applied almost universally.

1. Plan early on

While this may seem like basic knowledge, clients frequently tell us about the headaches involved in managing internal review workflows within their translation process. The problems often occurred when an IR process was introduced too late in the game. Planning early on to include rounds of linguistic internal review in the translation process is crucial. During the quotation stage or at the project kickoff stage at the very latest, your localization partner should inquire as to whether or not an internal linguistic review of translated content will be taking place. This is particularly important for projects that include a voice-over recording component. A project will normally be on hold while the client is performing an internal linguistic review of the script before recording in the studio.

2. Consider Glossary Development

Glossary Development should be considered as one of the first steps in a localization workflow. The Glossary Development process allows Interpro to establish an English and corresponding target-language equivalent of the most frequently-occurring terms in your content, to then be reviewed and approved by your internal reviewers. This is done prior to starting the content translation phase of the project. Having an approved glossary upfront will minimize the total internal review time since the terminology will already have been approved. It serves as a foundation to ensure consistency of preferential translations for key terms across all of your translated materials.

3. Assign one reviewer per language

This step is very important, as too many cooks spoil the pot. Even if multiple linguistic reviewers are available and want to be involved, designate one person to have the final say. There can be multiple ways to translate the same concept – all of them correct, but someone has to have the final word to maintain consistency. Ensure that there is one master reviewer responsible for each language’s terms for the entire project. If for some reason they are not  available, ensure that whoever is reviewing content is made aware of the previously-approved  glossary, and not to stray away from approved terms and preferences.

4. Agree on a timeline

A timeline must be planned upfront and agreed upon. This means working closely with your  localization partner to make sure that everyone is on the same page, and that you know when you can expect to receive translations for review. You can then communicate this information to your internal review resources to alert them as to when they can plan their review. It would also be helpful to give yourself some buffer when dealing with your internal reviewers, as some languages may take longer to review than others. Though it may not be appropriate for one-on-one conversations, there are many instances in which SI is the clear choice. In a majority of formal event settings, interpreters will work in a soundproof area and speak into microphones so that their interpretation will not clash or compete with the original speaker. In other instances, headsets are enough to block out background noise and distraction. Because SI happens in real-time and is performed by native linguists, there is no missed information nor is there a need to add artificial pauses or gaps in the event timeline.
